What "automatic" actually means for green receipts
"Automatic" is a dangerous word in this topic, because it promises more than many tools deliver. Let's get this straight right at the start: no tool can issue a green receipt for you on Portal das Finanças without your confirmation — issuing is your act, with your credentials, on the official portal. Any tool suggesting otherwise is selling smoke.
What can genuinely be automated is everything else — and it's a lot. It's the repetitive work surrounding every receipt and every deadline:
- Recurring receipts created on their own — your monthly retainer appears every month, without you recreating it.
- Automatic VAT and IRS calculation — from the receipts you've already registered, with no spreadsheets.
- Alerts before every deadline — by email and on your phone, at 14, 7, 2 and 0 days.
- Pre-filled values, ready to copy — when it's time to file, the numbers are already there.
That is what "green receipts automatic" means in practice: not magic, but the elimination of manual work between one receipt and the next. The rest of this guide explains each piece — and at the end, how to try all of it free for 7 days.
1. Recurring receipts: the retainer that looks after itself
Most freelancers live on retainers: the same client, the same amount, every month. Without automation, that means recreating the same receipt twelve times a year, with twelve chances to mistype a number, a date or a tax ID.
With recurring receipts, you define the retainer once — client, amount, frequency — and the system generates the receipt in each cycle. If the amount changes, you update the retainer and later receipts reflect the change. If a client leaves, you pause or cancel the recurrence. And the tax calendar is immediately updated with issue and due dates.
This is also the foundation of everything else: without consistently registered receipts, no automatic calculation is worth anything.
2. Automatic VAT and IRS calculation from your receipts
This is where automation actually saves money — or rather, where it stops you losing it through distraction.
VAT and the €15,000 limit. If you are exempt under article 53 of the VAT Code (CIVA), you don't charge VAT while your annual turnover stays under €15,000 — counting only receipts from operations located in Portugal. Receipts from foreign clients don't count. The danger is that the crossing can happen mid-year with no official warning, and from a certain margin (€18,750) the very transaction that crosses the limit may already be subject to VAT. An automatic system adds up your Portuguese receipts through the year and shows how far you are from the limit — and, on FiscalPiloto's Pro plan, projects the crossing date at your current pace.
Social Security. The contribution rate for self-employed workers is 21.4% on relevant income — for services, relevant income is 70% of gross income. The minimum contribution is €20/month. Automation calculates this from your real receipts for the quarter, instead of a guess.
IRS. On receipts issued to companies, the typical withholding rate is 25%. And two tools only make sense with real data: the ±25% adjustment of declared income on the quarterly declaration, and the IRS forecast — how much you should pay or receive at the annual settlement — calculated from your receipts.
3. Automatic alerts before every deadline
A freelancer's obligations repeat every quarter, deadlines shift when they fall on weekends, and August has its own rules. Relying on memory is the most expensive way to manage this.
The calendar that matters — or rather, that a system should remember for you:
| Obligation | When | Where |
|---|---|---|
| Quarterly SS declaration | Last day of Jan, Apr, Jul, Oct | Segurança Social Direta |
| SS payment | Days 10–20 of the following month (August: until the 31st) | Multibanco / online banking |
| Quarterly VAT return | Day 20 of the 2nd month after each quarter | Portal das Finanças |
| VAT payment | Day 25 of the return month | Portal das Finanças |
| Annual IRS return | 1 Apr – 30 Jun | Portal das Finanças |
| IRS payments on account | Jul, Sep, Dec | Portal das Finanças |
The cadence that works is 14, 7, 2 and 0 days before each deadline: enough time to act calmly at 14 days, and a last warning on the day itself for when life got in the way.
4. Pre-filled values, ready to copy
When the quarterly declaration arrives, the classic manual job is adding up three months of receipts, splitting by client and territory, and hoping you didn't swap a number. Automation reverses this: declaration values are calculated from the receipts already registered and presented ready to copy into the official portal.
This isn't a nice detail — it's where expensive mistakes happen. A late quarterly Social Security declaration can mean a fine of €50 to €250, plus the official assessment of the minimum contribution. A late annual IRS return runs from €150 to €3,750. And invoices left unvalidated on e-Fatura mean lost deductions on the annual IRS return.
What still needs you
So there is no doubt, here is the boundary, stated once and plainly: issuing receipts and submitting each declaration on Portal das Finanças or Segurança Social Direta is done by you, with your credentials, on the official portals. A good tool prepares everything up to that moment — receipts created, values calculated, alerts sent, numbers ready to copy — but the final click is yours. That's how it should be: it's your tax data, and you should never hand your Portal das Finanças credentials to any tool.
Who benefits most from automation?
- Freelancers with monthly retainers — recurrence is the biggest immediate win.
- Anyone billing near the €15,000 limit — the VAT radar prevents a mid-year regime surprise.
- People combining a job and receipts — two income sources, twice the dates to miss.
- Anyone who has already paid a fine — and knows exactly what a forgotten deadline costs.
Try it without risk
The honest way to judge an automation tool is to use it with your own numbers. FiscalPiloto has 7 days free, no card: in that time you can register your receipts, create a recurrence, see your alerts, your IRS forecast and your Safe-to-Spend — your balance with taxes already set aside — and decide with real data whether automation saves you time and money.
Try 7 days free, no credit card — and see what happens when receipts almost look after themselves.
